Terms & Conditions


Note: Cultural Passage, LLC (referred to occasionally herein as “Cultural Passage”) highly recommends trip cancellation insurance for all programs. Due to the nature and limited capacity of the program, Cultural Passage must adhere to a stringent refund policy. Specific program cancellation and refund policies may supersede those enumerated below.

  • Each program fee, regardless of amount, includes a $350.00 non-refundable deposit.
  • All program balances and required paperwork are due 60 days prior to departure date unless otherwise specified.
  • Full refunds, less deposit, will be provided more than 60-days prior to departure date.
  • 50% refunds will be provided between 31 and 60 days prior departure date.
  • 25% refunds will be provided between 7 and 30 days prior departure date.
  • No refunds will be provided 6 days prior to departure date.
  • Participants whose balances and required paperwork are not received by the 60-day deadline as stated above, risk forfeiture of their place on the program.
  • All refund requests must be made in writing and be received in our office within the 60-day period, as stated above.

Participants are required to purchase travel insurance and provide policy details to Cultural Passage prior to departure. This insurance must include medical coverage as Cultural Passage does not assist or pay for medical treatment as a result of illness or injury.


Participants are responsible for their own well-being. This includes good health and strong physical condition. Participants with mobility limitations or certain medical conditions may be required to obtain a physician’s release or authorization to participate in Cultural Passage’s program prior to departure. Participants are responsible for: knowing all pre-departure information, preparing travel arrangements prior to and following their program, complying with operating and conduct policies, preparing proper clothing, conforming to basic standards of personal hygiene (to minimize the risk of travelers diseases) and acting in a considerate manner toward all group members and with respect for the country’s customs. Participants are prohibited from using illegal drugs and alcohol while participating in CP programs. Participant gives their consent for CP to use their photograph, likeness and/or voice to be used in its publications, including its website.


We are committed to helping participants achieve their personal goals safely and enjoyably. Cultural Passage, its owners, members, governors, agents, employees, officers, directors, associates, affiliated companies and subcontractors (herein after collectively referred to as “CP”), hereby give notice that they act only as agents for hotels, transportation companies, land operators and suppliers of travel services. CP assumes no responsibility or liability in connection with the operation or service of any aircraft, motor vehicle, other conveyance, inn, lodge or hotel which may be used wholly, or in part, for services to CP. and its clients. CP, its operators and agents will not be responsible for any act, error, omission, nor for any injury, loss accident, delay, inconvenience, irregularity or damage which may be occasioned by any cause whatsoever. This includes acts of nature, civil disturbance, government restrictions, terrorism, or failure of any means of conveyance to adhere to published schedule.

CP reserves the right to change the price of, cancel or withdraw any program for any reason whatsoever prior to departure. After departure, CP reserves the right to alter or omit any part of the itinerary, to substitute lodging or staff members, to change any means of conveyance without notice and without allowance of refund, with liability for increased costs (if any) borne by the participant. CP reserves the right to accept or reject any person as a participant at any time.

I understand, and am aware, that during the program in which I am currently participating, or will participate in, under the arrangements of CP, certain risks and dangers may arise including, but not limited to: altitude; steep or treacherous terrain; inclement weather; the hazards of traveling in politically unstable areas; the dangers of civil disturbances and war; the forces of nature; travel by boat, automobile, train, ship, aircraft or other means of conveyance; and accident or illness in remote places without access to medical facilities, transportation, or means of rapid evacuation and assistance. Accordingly, Participant agrees to sign CP’s Participant Agreement, Release and Assumption of Risk prior to departure and as a condition of participating in CP’s programs. The provisions of these Terms and Condition should be construed consistent with those set forth in the Participant Agreement, Release and Assumption of Risk and in the event of any irresolvable conflict the terms of the Participant Agreement, Release and Assumption of Risk will prevail.

I certify that I am familiar with the dangers, hazards and risks incident to participating in international programs as listed above. And I accept and clearly understand that these hazards and risks may result in personal injuries to myself and others, including paralysis and death, and hereby expressly assume to the full extent permitted under the laws of the state of Washington all of the above risks including, the risks arising from or related to the acts or omissions of CP, and do hereby expressly agree to hold CP harmless and defend them against any and all liability.

In consideration of the services furnished me, and to be furnished me as a member of this program by CP, I on behalf of myself and my heirs, assigns, successors and legal representatives, hereby release CP and all the members of the program from any and all damages, claims, injuries, losses, or any cause of action which may arise out of or result from my participation in CP’s program. I hereby assume each and every damage incident to my participation (including death), and agree to indemnify and hold harmless CP and all members of the program against any sums which they, or any of them may be subject to pay in consequence of any claim or demand by or through me, or resulting from my being a member of this program.


Cultural Passage is continuing to monitor the COVID-19 outbreak and has been responding accordingly. Cultural Passage will evaluate a number of risk and program fulfillment factors and will make an initial decision delay or cancellation of the program as soon as possible prior to the start of any program. In the event that Cultural Passage cancels or delays a program for this reason, the full amount of fees due or paid to Cultural Passage will be fully refundable including any deposits otherwise stated as “non-refundable”. In the event that participants choose to withdraw from any program offering due to COVID-19 related factors, this refund policy will apply up to 30 days prior to the program start. Cultural Passage will not be held responsible for any expenses incurred outside of Cultural Passage program fees such as airfare, travel visas, vaccinations, insurance, or other expenses. Cultural Passage highly recommends purchasing travel insurance to cover these types of losses in this event.

Factors affecting the decision to proceed, delay, or cancel the program include but are not limited to:

  • CDC/WHO guidelines and recommendations,
  • State Department travel advisories,
  • Air travel restrictions and availability,
  • Travel visa availability,
  • In-country travel restrictions,
  • Availability of program placement partners,
  • Local perceptions of foreign visitors and cultural considerations.

Participants will be required to supply and carry their own personal protective equipment (PPE) as not to place a burden on the local supply. Participants will be advised 2 weeks prior to the program start of any specific requirements related to program activities requiring PPE. Enhanced cleaning methods with be in place in Cultural Passage operated accommodations through 2021.
